Task Cards in AS21 Track Professional Development Participation, Fundraising, and Promotional Activities

    

AfterSchool21 (AS21) is a software service that supports after-school programs at the state and local levels in submitting compliant data for their annual performance report, 21APR.  

In the May software development release (effective May 25), state department of education admin users can use new task cards to gain greater visibility into professional development activities, outbound communication via blogs or websites, and fundraising efforts. Task cards in AS21 help users break down aspects of their state or school district data into more manageable records. In most cases, a single click on a card leads a user to the report they need to view. 

Professional Development Card 

Located under Program Information, this card adds the ability to track staff participation in professional development events for multiple staff at once. Previously, admin users had a way to enter attendance for individuals but not groups of staff.  

  • Define the professional development event 
  • Create a new event or select a previous event from a drop-down menu 
  • Assign staff to the event based on all sites in a district or specific ones 
  • Admin users can then enter notes for each person via text fields  
  • Enter results for each staff member to detail the result of the activity, such as an individual earning a certification 

Outbound Communication Information Card 

When a school site wants to share information with its community, the state administrators can collect data points such as the primary social media site and website URL to ensure the information related to the after-school programs funded by 21st Century Community Learning Centers (21st CCLC) grant dollars are up to date. Through the card, a program can document: 

  • Type of communication (such as a newsletter or blog post) 
  • Frequency of communication 
  • The audience for the communication 

Fundraising Card 

In order to monitor the program’s grant applications and fundraising efforts, a new card is available to admin users to document information around efforts to supplement their grant money: 

  • If a program charges a fee, and if so, what is the amount collected during the summer and the school year   
  • A description of the fee structure  
  • A description of fundraising events   
  • Track grant applications and whether the application was successful 
  • Data tables are exportable to Excel and PDF formats 

Reinstate Students To Waitlist 

Site staff now have more control over managing the general enrollment waitlist for their after-school program: 

  • Staff have always been able to remove a student from the waitlist  
  • Now, staff can put the student back on the list, either in their original position on the list or add them back to the list at the bottom of the waitlist priority   
  • Staff can view the history of changes to the waitlist
